JOB DESCRIPTION


The
Event Producer (Logistics) will be the primary client point of contact while planning an event or live stream of large or complex scale.

They will manage, prioritize and oversee the execution of these high-level events end to end.

This role will be responsible for the holistic approach to event production, including but not limited to creative concept and development, budget management and reconciliation, food & beverage, décor, staffing, attendee arrival and experience, registration management and transportation.

The Event Producer (Logistics) will report directly to the Event Operations Director.


RESPONSIBILITIES:


  • Responsible for leading and/or supporting the planning and execution of events
  • Manage, prioritize and oversee events from creative concept and development through initial briefing to reconciliation including but not limited to budget management, presentation development, video design & development, interactive/experiential technology, registration, event app, transportation, staffing, translation etc.
  • Can serve as a central point of contact to facilitate the venue's logístical needs including the coordination of catering, audiovisual, security, swag/collateral, and transportation
  • Can manage booking requests/room blocks utilizing the client's internal system and ensure calendar invitations are sent for prep meetings and speaker scheduling
  • To act as a client point of contact during the planning and execution of live events
  • Manage client expectations on logístical issues and escalate issues as needed
  • Implementation and project management of event registration websites, app builds and all technological aspects of our events
  • Database Management: ensure consistency of information and generating lists upon request
  • Manage client evaluation communications such as savethedates, invitations, registration, confirmations, etc.
  • Assist in the development and management of online registration
  • Manage relationships with technology suppliers including the negotiation of contracts
  • Management of room blocks and coordination with hotels
  • Work with the team to ensure adherence to client standards of operations
  • Administrative duties including supply management, event documentation and postevent communications to key stakeholders
  • Be responsible for accurate and timely budgeting and reconciliation of events
  • Be proactive with ideas and creative solutions
  • Work with the team to ensure adherence to client and agency standards
  • Field questions and offer advice to team members to assist with creative problem solving

  • Keep up to date on the industry through websites and periodicals

QUALIFICATIONS:

years' live and digital event production experience, preferably in an agency environment

  • Bachelor/Graduate Degree required
  • Advanced project management skills including budget creation, management and reconciliation
  • Experience with business meetings, product launches and experiential events
  • Exceptional ability to establish relationships and maintain a positive rapport with clients, vendors and suppliers
  • Excellent oral and written communication skills
  • Advanced negotiating, risk management and contracting skills
  • Good/advanced working knowledge of Microsoft Office
  • Good/advanced working knowledge of audiovisual systems as it relates to live events
  • Creative problem solver, resourceful, team player
  • Calm and flexible approach to handling the pressure and stress of everchanging demands
  • Highly organized with excellent time management skills to handle multiple tasks and meet strict deadlines
  • Ambitious and proactive
  • Willing to travel when required
  • Ability to work across time zones and with global event teams
  • Advanced working knowledge of key APAC destinations including venues and suppliers
  • Global event delivery experience
  • Demonstrated ability to collaborate with colleagues at all levels
  • Familiarity with Salesforce and project collaboration tools (e.g. Slack)
