Primary Purpose:
Provide
Receptionist, Office Administration and HR Services/Ops Support


The successful individual will leverage their proficiency to:
Reception and Office Support

  • Be present in corporate office at least 3 times a week to receive visitors, vendors, letters, help in office set ups for events, etc
  • Perform general office administration including but not limited to pantry restocking supplies, space and office equipment management
  • Man the reception desk including but not limited to answering and directing calls from general telephone line, and assisting visitors/guests to the office
  • Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time
  • Point person for maintenance, mailing, shipping, supplies, equipment, bills and errands
  • Office admin support for business meetings, which includes preparation of meeting material, room booking, restaurant reservation etc.
  • Receive, sort and distribute mails
  • Disseminate information provided by the building management
  • File and prepare Monthly Office Expenses for payments (e.g., Buying Hub, Concur, Egencia, etc)
  • Coordinate onsite and offsite office meetings and social events including space reservations, catering and logistics
HR Operations (Field/Stores and Corporate)

  • Be a strong support to HRBP in all Employee Life Cycle topics
  • Responsible for providing strong administrative support in all employee movement activities
  • Onboarding/offboarding
  • Orientation (preparing welcome bags, lanyards, individual employee ID card) for all new joiners
  • Organize lunches for new joiners where necessary
  • General admin queries
  • Support in PeopleHub (SuccessFactors) organization and profile changes
  • Support in managing and maintaining all employee pfiles accurately
  • Support on all governmentrelated survey submissions (MOM, IMDA, etc)
  • Support HRBP with reportingrelated topics for Finance, global/regional HR, and local requests
  • Support on payroll submissions to the payroll team (check payroll advice, be aware of employee oneoff payments and any movements etc)
  • File and prepare Ad-Hoc Expenses that are generated by the HR team for the employees
  • Be involved other ad hoc duties and interesting topics/projects throughout the year

The accomplished individual will possess...

  • Ability to multitask effectively and comfortable to work in a fastpaced environment
  • Outstanding communication skills to collaborate and influence with both internal and external key stakeholders.
  • Experience using SuccessFactors
  • Strong attention to detail and highly organized
  • Proactive problem solver and superior followthrough
  • At least 2 years of relevant experience in a corporate environment (experience in retail and/or HR is a plus)
  • Experience managing work passes in Singapore
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
