About the role


Responsibilities:


  • Assist in client onboarding process
  • Attend board meetings and accurately record and transcript detailed minutes, and follow up with actions taken during the meetings.
  • Schedule, send invitations, prepare and distribute timely meeting agendas, notices, and supporting documents to board members, both online and physical meetings.
  • Ensure all meeting materials, reports, and presentations are collated, organized, and distributed to board members in advance of meetings.
  • Maintain an uptodate and accurate record of board policies, bylaws, and other governing documents.
  • Maintain a centralized filing system for boardrelated documents, ensuring documents are properly cataloged, archived, and readily accessible.
  • Manage accounts receivable, WIP, invoices, AR and internal billings.
  • Data entry and client database management, including SUGAR report
  • Drafting proposals/quotes
  • Credit card and expense submissions
  • Arrange execution of board resolutions, agreements and other transactional documents.
  • Proactively work with and support the team to meet client deliverables, and in the execution of their fiduciary duties, complying with legal and regulatory requirements.
  • Manage, develop and improve operational and administrative processes.
  • Maintain confidentiality and handle sensitive information with discretion and professionalism.
  • Any other adhoc assignments.
Qualifications & Experience

  • Previous relevant experience in an administrative support role, preferably within a board or executive office environment.
  • Familiarity with board governance principles and practices is desirable.
  • Excellent written and verbal communication skills, with the ability to capture accurate and comprehensive meeting minutes.
  • Strong organizational and time management abilities, with exceptional attention to detail.
  • Proficient computer skills, including MS Office Suite and document management systems.
  • Ability to work independently, prioritize tasks, and meet deadlines in a fastpaced environment.
  • High level of professionalism, integrity, and confidentiality.
  • Understanding of Chinese language is preferred
