Executive Personal Assistant


RESPONSIBILITIES

Executive Support

  • Manage schedules and diary of COO including the organizing of all appointments, meetings and travel arrangements
  • Identify, anticipate and prepare information for meetings, appointments and presentations and to also follow up with requests for information and outstanding reports and correspondence
  • Work closely and effectively with the COO to keep them well informed of upcoming commitments and responsibilities
  • Ensure that all minutes of meeting chaired by COO, is recorded and acted upon by attendees

Communications and PR

  • Respond to requests for materials regarding the COO; and the organization in general
  • Follow up on contacts made by the COO and support the cultivation of ongoing relationships
  • Maintain and develop databases and mailing lists and ensure it is kept up to date and accurate
  • Interact with customers when appropriate and problem solve. Document feedback and develop an appropriate course of action. Escalate it when problems cannot be resolved for attention

Office Administration and Management

  • Responsible for the efficient functioning of the office and to work with stakeholders to ensure smooth running of the office on a daytoday basis
  • Develop, implement and maintain the administrative and record management policies within the organization, recommending changes as appropriate
  • Maintain and develop systems, procedures and records in accordance to the organization's policies and objectives
  • Ensure necessary records are maintained that can readily provide current, accurate and accessible information

QUALIFICATIONS
Bachelors Degree
