Claxton is currently seeking a Tender Specialist for a full-time, permanent position based at our Singapore - Tuas South Avenue location.


Reporting to the Sales and Commercial Manager APAC, the Tender Specialist will act as the focal point for the commercial function of the business.

This key role will be responsibility to produce quotations, proposals and formal tender packages, as well as arranging bid reviews per the company approval process, interfacing with group commercial and legal departments and gathering the required inputs from business function such as Operations, Product Line Managers, Supply Chain, Finance and Engineering.


The Tender Specialist will continually ensure that the business works within is set approval processes and will interface with the site Management Team to raise any risks or opportunities in a timely manner.

The role holder will be encouraged to seek ways to improve the commercial function to optimise proposal creation and delivery.


Duties/Responsibilities

  • Prepare Quotations for all Claxton Product and Service offerings, covering Sales, Service, Rentals and offering work as required
  • Obtaining information from internal stakeholders as required including the creation of bid delivery schedules
  • Prepare Bid Review information for approvals, including Cost Forecasts (CTX), Proposal and Review Packs
  • Ensure Proposals are inline with approved commercial standards such as Claxton Standard Terms and Conditions, Pricing and that any deviations are approved per agreed DOA's
  • Independently review any ITT's, RFP/Q's or similar and with input from the Sales owner present the information for BID reviews
  • Maintain a proposal tracker/commercial register and use Navision for quote generation
  • In coordination with Sales Teams, follow up with clients on submitted bids through to win/lose phase
  • Gather inputs from SCM, OPS, Engineering and other functions to meet bid deadlines
  • Provision of contract specific Document Control in support of the PE and project
  • Understand Bid approval limits, commercial process and related DOA's
  • Support Middle East business as required with any proposal/commercial related requests
  • Interface with commercial teams in Claxton UK (ABZ and GY) to enable a global view and consistency in process and procedures
  • Undertaking any other reasonable requests from line manager

Requirements:


  • A minimum of 4 years experience within a Sales/Commercial/Project Team with at least 2 years in a commercial specific role
  • Proven track record in creating winning proposals and tender responses
  • Experience of managing bid schedules and plans
  • Experience of client contract negotiations and qualifications
  • Experience of client negotiations
  • Excellent organisational skills and attention to detail
  • Ability to prioritise and negotiate workloads
  • To work in a dynamic environment while controlling a multitude of tasks
  • Communicate clearly and concisely with diverse audiences. Can influence decisions internally and externally
  • Good interpersonal skills for liaising with all stakeholders
  • Ability to create, compose and edit compelling written material
  • Understanding of Management of Change, typically, Project Scope, Cost & Time
