    Description

    XCL World Academy seeking to recruit a Registrar . The successful incumbent would maintain documentation, practices, and procedures to ensure that XCL World Academy abides by all relevant legal and regulatory rules (including CPE rules and regulations).

    Ensure that all tasks administrative or otherwise related to enrolment are thoroughly completed and data inputs are updated and managed effectively.

    This is a three months temporary position.

    Main Responsibilities

    • Manage the returning student contract process and monitor that parents complete digital signing of the contract on time.
    • Ensure that the CRM systems are updated.
    • Manage all processes of the Student Pass including application/renewal for both new and currently enrolled students, conversion from Dependant's Pass to Student pass, as well as cancellation upon withdrawal.
    • Follow-up with details as needed to process Student Pass effectively and successfully, to ensure that students can be in school on-time for the applied start-date.
    • Liaise with families as needed to ensure applications are complete within a given timeline.
    • Check student pass application status daily on ICA Solarplus portal.
    • Monitor that all Enrolled STP holder students' passports are up to date.
    • Follow-up with families to get the new information then update data and upload relevant documents into the CRM systems.
    • Ensure that the CRM systems are updated with the results and relevant parties (internal and/or external) are notified.
    • Ensure that students have submitted all the required pre-requisites before the enrolment date. Follow-up with the family and/or Admissions Manager when necessary.
    • Update contact information and applicant's data accurately.

    Person Specifications

    • Minimum Diploma or Degree in related courses.
    • Minimum 2 to 5 years of experience working in a similar role in a school environment would be an advantage.
    • Excellent verbal and written communication skills, both in person and over the phone.
    • Excellent interpersonal skills in person and over the phone.
    • Excellent presentation and influencing / persuasion skills in one-on-one and group settings.
    • Outstanding time management and organisation skills.
    • High levels of accuracy and attention to detail.
    • A team-player who is able to work with different parties to achieve the overall goal.
    • Excellent oral and written English ability to communicate in fluent Mandarin is a plus.
    • Models and exemplifies a culture of kindness within the department.
    • Experience in use of multiple customer databases, CRM tools and digital/ online platforms.
    • Proficient in using computers and systems experience in using CRM systems (i.e, OpenApply, iSams, Salesforce, etc) will be an added advantage.
