JOB PURPOSE

  • To provide administrative, logistics and office support for the Clinical Operations Department
-
MAJOR DUTIES & RESPONSIBILITIES'

_Specific_

  • Coordinate listing of surgical procedures for the department. Ensure that cases are listed in the appropriate operating theatres, and work with other department AAs/Execs to optimize utilisation of lists. This includes sourcing for empty operating slots in other department lists, making arrangements with surgeons for cases to be done when they are available, opening access of department lists to other clinicians or departments when surgeons go on leave, and updating SOC and OT partners on listing changes.
  • Coordinate with eMRO to receive Medical Report requests through NGEMR, delegate to the appropriate physician and ensure timely processing of such reports. Staff will work directly with the HOD to ensure indicator are met, recommend and institute quality improvement and/or other appropriate measures should submission of reports be delayed. This also includes arranging for timely Workmen Compensation and Specialist Medical Reports, after screening by the physicianincharge.
  • Working with NHG GS Residency Office, Clinical Services and P & OD leads to attain and maintain accreditation for GS and Urology Residency training site and ensuring training requirements are met.
  • Work with Value and Safety Office and department Quality Review Officer to ensure appropriate reporting of morbidity and mortality data, as well as organisation of Peer Review Learning sessions. This also entails obtaining postmortem reports from the coroner's office for mortality cases.
  • Function as the department Liaison for Primary Care, including organisation of GP Forums, teleconsultation sessions, case conferences and phone consults/hotline.
  • Work with clinicians to develop, maintain and update Department policies and work instructions, be wellversed as the resource person for new staff members regarding department processes.
  • Work with HOD to organise various departmental events including annual retreats, appreciation events and endofposting meals. This includes procurement of tokens of appreciation for outstanding junior staff or care partners.
  • Assist staff in organising departmental events e.g. Monthly Combined Surgical Meeting, Multidisciplinary Tumour Board, Mortality and Morbidity Round, visiting expert programmes, etc. This includes booking of venues, arranging meals and accommodations for overseas visitors, and programme publicity.
  • Work with HOD and various leads to compile Department annual report for submission to senior management.

  • Perform any other duties as assigned by Operations Head of Department
  • Continue to perform EA/Snr EA duties in support of the Departments of Surgery and Neurosurgery (see relevant JDs).
