**Job Description for Administrator
**Logistics

1. Supplier**- Arrange
PO to supplier and follow through till delivered. Once estimated delivery and at-sea date are available, update at
Delivery Check List in
Drive>Sales>Order Flow.

  • When goods arrive while unloading, we need to label with SKU every item.
  • Attend weekly Sales & Op meetings and take minutes. Upload minutes the next day in
    Drive>Sales>Sales & Ops Meeting Action Points.

2. Daily Delivery**- Plan the
Delivery Work Order for the next day and share in
WhatsApp logistics and housekeeping group the day before delivery so Ops can plan their timing. Work with Weekly Team IC to ensure all is in order.

  • When delivery, the Ops team is to send pictures when the item is loaded on the truck and take pictures of the table with the owner whenever possible and post to
    WhatsApp logistics and housekeeping group.

  • Upload ratings onto
    Drive>Operation Team>Delivery with Star .
  • Every middle of the month update the Ops team on the amount of stars they get.

3. Preparing Order before Delivery**- Once sales send an invoice, update Drive>Sales>Order Flow and update in the system.

  • 2 weeks before delivery, to prepare the order required. Have the sales team check the item and sign for acknowledgment before wrapping it and put the invoice outside the top right.
  • Those items to be delivered later will be put inside while those to be delivered earlier outside.
  • Coordinate with the Cutter or Polisher if there are custom orders.
  • After cutting, check to ensure the size is correct. Take a measurement, measure the table, and take a picture with the measurement to the superior to confirm.
  • Also ensure the table is labeled with SKU immediately.

4. House Keeping**- Team is divided into 3 teams, Showroom, Toilet and Office cum Meeting area. Ensure standard is met for cleaning according to Operations Cleaning specifications.

  • Open the mailbox at 4 pm every day.
  • Ensure the team leader locks the lift end of day and opens it at the beginning of the day.

5. Inventory Management**- Ensure inventory is in good order. End of every month to stock take. Inventory should indicate where the item is put.

  • Enforce whatever is taken is put back in place.

6. Customer Service**- Liaise with customers on delivery date and time. Attend to customer's complaints on defects. Anything other than defects to refer back to sales.


7. Accounting**Key in sales and inventory and process refund as needed.
