Roles & Responsibilities


Depending on the career aspirations of the applicant this role has the room to grow into many various areas of the front office.

This could range from Translation Services, to taking part in business presentations etc.


Responsibilities:


  • Manage the agenda and arrange new meetings for the General Managers and senior staff
  • Handle expense related work for senior staff
  • Make guides for business staff on how to book travel, submit expenses, and other administrative matters
  • Answer phone calls and redirect them when necessary
  • Prepare and disseminate correspondence, memos and forms
  • Support and facilitate the completion of regular reports
  • Make travel arrangements
  • Document expenses and hand in reports

Job Requirements

  • Proven work experience as a Team Assistant / Exec Secretary
  • Proficiency in Japanese is advantageous as the role will be assisting to prepare reports in Japanese and coordinate with the Tokyo Head Office
  • High degree of multitasking and time management capability
  • Excellent written and verbal communication skills
  • Integrity and professionalism
  • Proficiency in MS Office, especially MS Outlook
