Roles & Responsibilities
Depending on the career aspirations of the applicant this role has the room to grow into many various areas of the front office.
Responsibilities:
- Manage the agenda and arrange new meetings for the General Managers and senior staff
- Handle expense related work for senior staff
- Make guides for business staff on how to book travel, submit expenses, and other administrative matters
- Answer phone calls and redirect them when necessary
- Prepare and disseminate correspondence, memos and forms
- Support and facilitate the completion of regular reports
- Make travel arrangements
- Document expenses and hand in reports
Job Requirements
- Proven work experience as a Team Assistant / Exec Secretary
- Proficiency in Japanese is advantageous as the role will be assisting to prepare reports in Japanese and coordinate with the Tokyo Head Office
- High degree of multitasking and time management capability
- Excellent written and verbal communication skills
- Integrity and professionalism
- Proficiency in MS Office, especially MS Outlook
