Description

We are looking for a smart, dynamic, and energetic individual to join Vulcan Shield Global as a Receptionist and admin assistant.

The Receptionist and admin assistant will be responsible for greeting clients and visitors to our office.

Also, to oversee giving clients directions to various parts of the office, contacting employees regarding visitors, answering phones and taking messages, and sorting and distributing mail.


General Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office
  • Answer, screen, and forward incoming phone calls
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Receive, sort, and distribute daily mail/deliveries.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Order front office supplies and keep inventory of stock.
  • Update calendars and schedule meetings
  • Manage bookings schedules of office meeting rooms.
  • Arrange travel and accommodations and prepare vouchers.
  • Keep updated records of office expenses and costs.
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
  • Provide general support to visitors.
  • Participate actively in the planning and execution of company events.
  • Administer and allocation of office parking slots and administrations.
  • Monitor and maintain office supplies inventory.
  • Review and approve office supply acquisitions.
  • Handle customer inquiries and complaints
  • Manage internal staff relations.
  • Maintain a safe, secure, and pleasant work environment.
  • Support printing of documents for business meeting if required.

Requirement

  • Diploma in administration or a related field.
  • Minimum 3years of relevant working experience as receptionist.
  • Excellent communication, interpersonal skills and the ability to collaborate with crossfunctional teams.
  • Strong understanding of office administrative principles and tactics.
