    The job holder will serve as a Personal Assistant (PA) to assigned Directors and provide administrative, HR and Finance support for the Archives and Libraries Group. You will be part of the Planning team under the Planning & Development Division (P&D) providing support for the division's work planning activities and ensuring compliance to policies/guidelines and corporate governance to achieve effective resource planning and management.

    [What you will be working on]


    • Provide Secretariat support for Director(s) of assigned Division(s)

    • Cover duties for Personal Assistant(s) within the Planning team

    • Provide administrative and HR for the Archives and Libraries Group (ALG)

    • Collate statistics, key performance indicators and perform simple data analysis

    • Provide Finance support for assigned Division(s)

    • Monitor and present regular budget updates to internal stakeholders

    • Ensure accurate collation of mid-year budget reviews on an annual basis as the budget coordinator for assigned Division(s)

    • Work with stakeholders to ensure compliance with policies, guidelines and standards including seeking clarifications with the relevant parties

    • Provide support for ALG events such as team bonding activities and townhalls that promote staff engagement

    • Conduct regular reviews of processes to streamline operations for increased efficiency and productivity

    • Preferably with at least one year of relevant working experience.

    • Interest in administrative/ secretariat scope

    • Good interpersonal skills and learning attitude

    • Ability to multi-task and communicate well (oral and written)

    • Ability to work with details and numbers, meticulous and organised.

    • Proactive and able to work independently and in team setting.

    • Proficient in MS Office.

    Work location will be at Geylang East Public Library.
    Successful applicant will be appointed on an initial two-year contract.
