JOB SUMMARY
The Office Manager is primarily responsible in general office administration, company registration and visa processing. He/She will be supervising, mentoring, training, and coaching the office staff and delegating assignments to ensure maximum productivity.

JOB RESPONSIBILITES

  • Manages office services by organizing office operations and procedures, preparing payroll, controlling correspondence, designing filing systems, reviewing and approving supply requisitions, and assigning and monitoring clerical functions;
  • Provides business advisory on business registration, visa processing and immigration policies;
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement;
  • Designs and implements office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments;
  • Keeps management informed by reviewing and analyzing special reports, summarizing information, and identifying trends;
  • Maintains office staff job results by coaching, counseling, and disciplining employees, and planning, monitoring, and appraising job results;
  • Achieves financial objectives by preparing an annual budget, scheduling expenditures, analyzing variances, and initiating corrective actions; and
  • Performs other relevant tasks that may be assigned by the immediate superior.

JOB QUALIFICATIONS

Educational Attainment

  • A graduate of Bachelor's Degree in Business Administration, Office Administration, Legal Management, or any related courses or equivalent degree.

Work Experience

  • With at least five (5) years' work experiences in office management and visa processing; and
  • With good background in managing a consulting, outsourcing, and visa processing company.

Essential Skills and Core Competencies

  • Must be fluent in Mandarin Chinese;
  • With indepth knowledge in office administration, business registration, visa processing and immigration policies;
  • With excellent communication skills (both verbal and written);
  • With good rapport and effective interpersonal skills;
  • With high adaptability skills who can relate with all kinds of people regardless of race, economic status, nationality, age, and gender; and
  • With effective organizing and administrative skills.
