    Description

    Job Responsibilities include, but not limited to

    • Scheduling Library Roster for Library staff
    • Preparing and submitting various reports and records as required by the Library, DVD and Book Club Committees.
    • Response to members complaints, resolve problems and/or contacting vendors as appropriate
    • Ensure new acquisitions are released timely on every 1st of the month for our Members
    • Catalogue and re-classify new and old Non-Fiction books
    • Keep track of books ordered - report for the Library Sub-Committee
    • Confirm Attendees for Meetings, Booking of rooms and preparing menu for meetings
    • Managing any requests made by patrons which include but not limited to
    1. Purchasing specific titles [monographs and DVDs]
    2. Subscribing to magazines or newspapers
    3. Accepting Donations
    4. Dispute resolution among members
    • Online purchase - list of books and DVDs submit to Purchasing Manager
    • Submit booklist approved by the Library Sub-Committee for local purchase to the Purchasing Manager
    • Prepare agenda for Library Sub-Committee and DVD Section
    • Prepare GC Report and follow-up from meetings
    • Ensure new implementations are in operation:
    • Fines charges - Vlib (Library Management System) & Finance system automation
    • New members elected monthly - Vlib & Membership database synchronization
    • DVD operations and Invelos DVD Profiler (US software) - online DVD listing for browsing
    • Self-Check machine kiosk for books (encourage members to use)
    • Work pad stations for RFID - reader to scan items at the library counter
    • Automated Email Services - overdue and reservation notices to members
    • Work with vendors - 3M (RFID vendor) & VTech (Library Management System vendor) on requests from Sub-Committees and Management
    • Recommend best sellers/good reads to members
    • Interaction with members for feedback to improve library services
    • Select and purchase new books with Library Sub-Committee representative monthly
    • Organise Library events such as Meet The Author Evening'
    • Organize library visits for staff and Committee members
    • Training courses for executive and associates - suggest and plan new and essential courses
    • Manage Budget for Books/DVDs/Periodicals - ensure within Budget
    • Raise purchase requisition for projects listed in the Annual Budget/Capex
    • Annual Report - submission
    • Any other ad-hoc tasks that require attention, such as assisting IMDA submissions, interviewing library candidate

    • Check in and check out Books at the Library counter
    • Assist members to use Self-Check machine to check out books
    • Assist members with photocopying
    • Assist members with the internet stations
    • Responsible for the on-going Book culling exercise
    • Reply to email enquiries
    • Handle telephone enquiries

    Requirements

    • A degree or equivalent in Library Science, with at least 3 years of experience
    • Service-oriented and comfortable with public speaking and presentations
    • Ability to work on scheduled shifts which include weekends and public holidays
    • Excellent written and verbal communications skills in English
    • Good organizational, planning and time management skills
    • Good knowledge of Microsoft Excel, Word, and PowerPoint
    • High level of digital and information literacy
