Administrative Assistant
Company Overview:
We are a reputable trading company based in Singapore, specializing in various industries such as import/export, distribution, and logistics.
As we continue to expand our operations, we are seeking two highly efficient and organized Administrative Assistant to support our team in day-to-day administrative tasks.
This is a crucial role that requires excellent organizational skills and the ability to handle multiple responsibilities with great attention to detail.
Job Responsibilities:
Provide general administrative support:
Perform general clerical tasks such as filing, photocopying, scanning, and data entry.
Coordinate meetings and appointments:
Schedule and organize meetings, conferences, and business trips for team members. Prepare meeting materials, agendas, and take minutes when required.
Maintain office supply inventory:
Monitor and restock office supplies, equipment, and materials needed for day-to-day operations. Ensure they are well-stocked and readily available for staff members.
Assist with logistics arrangements:
Coordinate transportation for goods. Ensure accuracy with attention to customer's deadlines.
Data management:
Maintain accurate records, databases, and filing systems to support efficient document control and retrieval.
- Handle ad-hoc administrative requests: Assist the team with special projects, presentations, and other administrative duties as assigned.
Prioritize confidentiality:
Maintain strict confidentiality of company and employee information, ensuring that sensitive data and documents are handled with utmost discretion.
Qualifications:
Education and experience:
A high school diploma or certificate equivalent is preferred, while additional relevant certifications and courses in office administration will be advantageous.
Proven experience as an administrative assistant or in a similar role is preferred.Strong organizational skills:
Ability to multitask and manage time effectively, ensuring tasks are completed accurately and within deadlines.
Excellent communication skills:
Proficient in written and spoken English, with the ability to effectively communicate with colleagues, clients, and external stakeholders.
Computer proficiency:
Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience with document management systems and databases is an advantage.
- Detail-oriented: High attention to detail to ensure accuracy in administrative tasks, data entry, and document preparation.
Strong work ethic:
Reliable, proactive, and able to work independently without constant supervision.
Professionalism:
Demonstrates a professional demeanor, maintaining a positive and polite attitude at all times.
Familiarity with Singaporean administrative practices:
Preferred knowledge of local administrative processes and regulations specific to Singapore.
