JOB DESCRIPTION
The
Team Lead will be responsible for delivering Client directed strategy and meet all objectives through execution.

They will work alongside the Principal, APAC Events and FIRST Senior Management consistently delivering exceptional service through excellent project, data, and event management for in-person, virtual and hybrid events.

They will be responsible for managing several internal and external initiatives at a time, supporting C-level and senior stakeholders.

This role will also support the overall event strategy for the company, as well as integrating best event practices on a consistent basis, while coaching, mentoring and developing a team of dedicated resources for the team.


JOB LOCATION:
Singapore (hybrid in-office format)


EVENT MANAGEMENT RESPONSIBILITIES (85%)

  • Deliver events that are worldclass and exceed clients' expectations
  • Work strategically with the Global Conferences and Events Team on achieving yearly event goals, strategically focusing on innovation and activation
  • Responsible for the planning and execution of multiple key internal and external highprofile events, to include hospitality, incentive, sporting and cultural
  • Travel for site visits and onsite execution as necessary (estimated 15%)
  • Maintain task lists and timelines for each of these events
  • Manage all aspects of the event operation from initial briefing to reconciliation
  • Keep speakers and internal participants well informed of all relevant logístical information
  • Manage event data and create quarterly reports for all global events
  • Create timely and effective communications as often as needed
  • Act as regional client liaison and ensure team performing and delivering excellence
  • Work with the team to ensure adherence to FIRST and client standards of operations
  • Responsible for accurate and timely budgeting and reconciliation of events
  • Create and closely monitor value adds at every opportunity, and look to find innovative ways to deliver content and enhance each event
  • Share knowledge of best practices regarding new suppliers, services, and venues
  • Always look to integrate best practices and raise the bar at each event
  • Be proactive with ideas and creative solutions, continually researching for the next big thing
  • Mentor and support other team members as required

LEADERSHIP RESPONSIBILITIES (15%)

  • Serves as the primary liaison between the Account Director/ Regional Operations Manager and the operational staff; ensuring all client needs are met; providing and implementing plans for continuous improvement (client, technology, processes etc.), escalating when needed
  • Balances the needs of the customer/client and operational need to ensure efficiency and effectiveness; meeting with the client as requested
  • Responsible for overseeing employment related activities such as hiring and onboarding of new employees for a smooth transition, managing disciplinary actions, and terminations in coordination with FIRST People & Culture and the Regional Operations Manager
  • Assume management role ensuring high performance, welfare, professional development, and FIRST engagement and retention of direct reports

  • Maintains the highest level of integrity and professionalism as a representative of the Company; abiding all company policies and procedures, ensuring team compliance with all FIRST administrative procedures and the client's best practice
  • Event allocation management while considering individual team members capacities, capabilities and career progression
  • Strong leadership experience: both leading and motivating colleagues in a manner that enhances working relationships and encapsulates the company brand and values
  • Promote a positive, open, and inclusive working environment; ensure good team morale
  • Field questions and offer advice to team members to assist with creative problem solving and knowledge sharing, seeking guidance from the wider global team
  • Manage vacation schedules, coordinate team presence to ensure ample coverage
  • Ensure the team is operating with commercial focus and seeking value adds wherever possible
