Roles & Responsibilities

Lease Management System Resource Guide

Target Audience: Real Estate (RE) professionals with 5+ years of experience in data center and building projects.

Key functionalities:

Lease Contract Management:

Create, manage, and track lease agreements for leased assets (buildings, data centers, etc.).

Define lease terms (start/end dates, renewals, termination clauses, payment schedules).

Generate lease contract documents (applicable for lease-out management).

Attach signed contracts to the central system (e.g., S/4HANA).

Lease Accounting and Financial Reporting:

Comply with lease accounting standards (IFRS 16, US GAAP).

Automate lease-related financial calculations (payments, interest, depreciation).

Generate accurate and comprehensive financial reports on leased assets, liabilities, and expenses.

Lease Revenue (Lease-Out Management):

Track and manage lease revenue (rent, escalations, variable charges).

Integrate with financial modules for accurate revenue recognition and invoicing.

Lease Payment and Expenses (Lease-In Management):

Track and manage lease payments (rent, utilities, etc.).

Integrate with financial modules for accurate payment processing and expense allocation.

Automate payment schedules and generate reminders.

Lease Administration and Maintenance:

Maintain lease information (lessee/lessor details, terms, modifications).

Monitor key lease milestones (renewals, terminations, escalations).

Support lease-related documentation (amendments, addendums).

Optional Functionalities (RICEFW):

Report: Generate customized reports for lease data analysis.

Interface: Integrate with external systems (e.g., accounting software).

Customization: Adapt the system to specific business needs.

Enhancement: Add new functionalities to the existing system.

Form: Design custom forms for data input and management.

Workflow: Automate processes related to lease management (e.g., approvals).
