About the role:

PRISM+ is a rapidly growing organization based in Singapore, currently seeking an experienced and highly organized Executive Assistant to join the team. Reporting directly to the Managing Director, this role involves providing crucial administrative support to the executive team.




Key Responsibilities:


  • Provide comprehensive administrative assistance to the executive team, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Edit and prepare correspondence, reports, and presentations for the executive team.
  • Conduct research and compile briefing materials for meetings, presentations, and various projects.
  • Serve as a key liaison between the executive team and internal/external stakeholders, fostering positive professional relationships.
  • Organize and oversee events, conferences, and team meetings to ensure smooth operations.
  • Maintain confidentiality and handle sensitive information with the highest level of discretion.
  • Support project management by tracking deadlines, milestones, and project deliverables.
  • Collaborate with fellow executive assistants and team members to streamline processes and improve overall efficiency.
  • Manage office facilities, equipment, and supplies requisition including pantry supplies.
  • Monitor budgets, expenses, and reimbursements related to executive team activities.
  • Identify areas for process enhancement and implement effective solutions.
  • Undertake adhoc tasks and special projects delegated by the executive team.

Requirements:


  • Bachelor's degree in Business Administration, Management, or a related field is desired.
  • Proven background as an Executive Assistant or in a similar administrative role, with prior experience in a Team Lead capacity.
  • Outstanding organizational skills with a keen ability to manage time and prioritize tasks effectively.
  • Strong focus on detail and precision in all assignments.
  • Exceptional written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Demonstrated capacity to handle confidential information with discretion.
  • Independent worker with initiative, yet a valuable team player.
  • Effective problem-solving skills and a proactive approach to challenges.
  • Adaptable to changing priorities and deadlines, with a flexible mindset.
  • Bonus if experienced in project management and accustomed to a dynamic corporate setting.
