About the Role
To create value to our clients (Swiss Re) by working as a professional service provider.

Provide professional and friendly front of house services to all Swiss Re employees and external visitors.

  • Primary Responsibilities:_
  • Facilities Management (FM)
  • The 1st level of contact in attending to all service call by stakeholders within the office with regards to repairs/maintenance/replacement of
  • Workplace Furniture
  • Workplace Related Services
  • Carry out daily inspections to identify workplace hazards to be removed and/or rectification of defects found.
  • Ensuring facility planner are updated with the latest schedule for preventive maintenance.
  • Ensure the cleanliness of the office are not compromised especially the daily cleaning of pantry equipment such as coffee machines, milk chiller etc.
  • Ensure landscaping vendor proficiency in the upkeeping of indoor plants to keep away withering plants, insects, and pests
  • Contracts
  • Monitor contracts ensuring renewal prior to expiry
  • Ensure the terms and conditions is in accordance to Swiss Re's Sourcing requirement
  • Ensure that all contracts are registered with Sourcing.
  • Vendor Management
  • Supervise and coordinate with vendor on the scheduled preventive maintenance for office equipment and services.
  • Engage with appropriate external parties (building management, cleaners, maintenance etc ) to maintain the delivery standard and driving rectification of issues.
  • Ensure and maintain adequate supplies of building facilities such as fluorescent tube etc.
  • Coordinate clearance by Building management for access of vendor to office premises and use of cargo lift, loading and unloading bay.
  • Regular engagement of vendor on their performance.
  • Asset List
  • Works close with Operations Office on the accuracy of the list
  • Workplace Services
  • Lockers/USM Cabinets
  • Manage allocation of lockers for new hire within Singapore Office.
  • Ensure lockers are cleared on the employees last day of work
  • Updating the database of lockers/USM cabinets
  • Hospitality Services
  • Supporting high performance delivery in Multimedia
  • Support staff with onsite AV and VC/TP requests.
  • Provide troubleshoot technical support for meetings in the internal meeting rooms.
  • Assist in the setup of rooms during Townhall, Training, Lunch & Learn etc.
  • Covering of Reception when required
  • Deputise Operations Officer
  • In absence of Operations Officer, perform responsibilities under the following services
  • Facility & Workplace Management
  • Safety & Security Operations
  • Travel Management
  • IEM; Assist in collating information liaising with landlord and vendor for data to be submitted to the regional IEM coordinator for her to update Credit360.
  • Business Services; Assist in performing inventory checks and order consumable supplies. Assist in ensuring the supplies in First Aid Box is not expired and sufficient.

About You

  • Minimum 35 years' experience in corporate facilities, building services, concierge and/or front of house services.
  • Presentable with excellent communication skills.
  • Ability to multitask and work independently.
  • Customer service attitude.
  • Positive team player.
  • Think and work proactively to provide solutions to solve problems.
  • Ability to meet deadlines with a high degree of efficiency and attention to detail.
