Description
We are seeking a highly organized and detail-oriented Admin Assistant to join our team. As a Admin Assistant, you will play a crucial role in supporting our daily operation efforts.

You will be responsible for various administrative tasks, not limited to preparing sales proposals, service agreement forms, sales quotations, and managing project folders in Google Drive, preparing invoices using Quickbooks, and more.


Responsibilities

  • Prepare sales proposals, service agreement forms, and sales quotations to support the sales team.
  • Manage project folders in Google Drive, ensuring all relevant documents are organized and easily accessible.
  • Prepare data reports based on provided guidelines, utilizing tools such as Microsoft Excel or Google Sheets.
  • Prepare and organize meetings, including agenda creation, document preparation, and followup actions.
  • Utilize QuickBooks to prepare invoices and ensure accurate and timely billing.
  • Track payment due dates and remind us to ensure prompt payment.
  • Conduct informational research with Google (or other search engines) and provide detailed findings to aid in decisionmaking.

Requirements:


  • Bachelor's degree or diploma in business administration or a related field (preferred but not required).
  • Proven experience as a Admin Assistant or in a similar role, supporting seniorlevel executives.
  • Strong organizational and timemanagement skills, with the ability to prioritize and meet deadlines.
  • Excellent verbal and written communication skills.
  • Proficient in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and scheduling software.
  • Exceptional attention to detail and accuracy.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong problemsolving and decisionmaking abilities.
  • Flexibility and adaptability to handle changing priorities and work under pressure.
  • Professional demeanor and strong interpersonal skills.
