OVERVIEW:
The Executive Assistant will provide high-level administrative support to the Regional Vice President of Sales.
This includes typical administrative duties such as arranging travel plans, scheduling meetings, and preparing presentations/correspondence as well as coordination and project management tasks specific for the supported teams.
This individual thrives in a fast-paced, ever-changing environment and is always one step ahead. The ability to deal with ambiguity and handle changing and competing priorities is a must.WHAT YOU WILL DO:
- Independently manage and coordinate multiple calendars, appointments, reservations, expenses, and travel arrangements.
- Build effective relationships with internal/external stakeholders to deliver on business objectives.
- Proactively create and maintain effective communications to accomplish the work of the executives which includes the handling of a variety of projects and tasks simultaneously.
- Coordinate the payment of invoices and reconciliation of expenses monthly.
- Create, review, and allocate purchase orders to ensure proper tracking; liaise with the Purchasing Department to correct improper allocations as required.
- Schedule meetings and provide calendar management (commitment planning), proactively identifying and addressing calendar conflicts based on knowledge of corporate priorities.
- Attend meetings and document minutes and action items thereof.
- Review access permissions to internal working tools including the SOX tool and Audit Board.
- Maintain confidential records and information.
- Coordinate travel where required; reconcile and process travel expenses according to company guidelines.
- Track position requisitions, progress, position codes, headcount etc.
- Provide onboard assistance to new hires and offboard external service provider staff as needed.
- Plan, organize and coordinate special events and activities.
- Coordinate catering requests.
- Attend Team meetings and provide support to the teams as required.
- Assist with other projects/initiatives/duties as assigned.
WHAT YOU'LL BRING:
Skills and Experience:
- Minimum 5 years' experience, preferably providing administrative support to a Clevel executive and team
- Post-Secondary education in an administrative or businessrelated discipline
- Strong organizational skills and an ability to be flexible and detail oriented
- Strong interpersonal and communication skills both written and verbal, in person and over the phone
- Sound judgement, discretion, professionalism, and extreme confidentiality are essential
- Proven ability to meet tight deadlines while prioritizing and handling multiple projects simultaneously
- Ability to work both independently and across teams and functions
- Strong customer service mindset with the ability to solve it right the first time
- Creative problemsolving skills
