Administrative Executive - Singapore - FILOS COMMUNITY SERVICES LTD.
Description
Purpose of job:
To perform administrative roles for the organisation including Facilities Management, Human Resource, Accounts, Information Technology and supporting role to other programmes or services of Filos.
Human Resources:
- to coordinate and conduct recruitment, employment relations and trainings in alignment with organisation's HR policies and procedures
- to conduct new staff onboarding orientation and periodic check-ins
- to prepare new staff' name card, stationeries, workstation and access to IT systems
- to conduct exit interviews, hand over and final settlement of staff benefit
- to update staff records in HR system and organisation' website
- to handle enquiries related to policies and procedures for employment matters
Facilities Management:
- to ensure operational readiness of offices, facilities and equipment
- to attend to service and maintenance requests including supervising day to day cleaning and/or minor repairs
- to source for equipment and or services as directed by the management
- to conduct regular checks to ensure compliance to current regulations for building and environment and work safety standards
Accounts:
- to process invoices and ensures goods and services are billed accurately
- to follow up with outstanding invoices and coordinate with stakeholders to ensure prompt settlement
- to monitor and review all contracts under facilities management including inventory and asset tracking
- to update daily incoming fund and supporting documents in the accounting system
- to generate monthly account payable and receivable aging reports
- to update bank reconciliation and audit schedule
- to maintain and update donation records
- to prepare donation acknowledgement letters and receipts to donors
- to assist with preparation of financial report for management
- to assist with internal and external audit process
Information Technology (IT):
- to maintain IT assets inventory list and IT access records
- to perform IT system back up regularly
- to source for IT equipment or system as directed by the management
- to handle staff enquiries for HR and accounting system
- to attend to IT support request from staff and provide first level assessment to resolve
Support:
- Supporting other adhoc programmes in administration role
- Any other duties as assigned by Assistant Director / Executive Director
