    Site Administrative Assistant

    The ideal candidate will be responsible for a variety of administrative tasks to support the smooth operation of our construction projects.

    Roles & Responsibilities

    • Reports directly to the Project Manager.
    • Updates organization charts, project directories, and maintains weather and manpower records quarterly for monthly project report submissions.
    • Manages site office equipment such as printers, scanners, WiFi, and staff computers, liaising with the HR department when necessary.
    • Handles workers' monthly salaries, supplier payments, and petty cash.
    • Maintains site working passes, induction records, and assists in drafting correspondence for project consultants, clients, and subcontractors.
    • Screens all incoming calls, raises purchase orders for office supplies, and ensures systematic filing of all delivery orders and documents for annual site and government audits.
    • Maintains site staff timesheets, leave and overtime applications, and facilitates the onboarding process for new employees.
    • Distributes site correspondence to staff, ensuring timely endorsement and proper filing in compliance with the company's ISO requirements.
    • Processes workers' payroll policies, ensuring timely and accurate salary disbursements to HQ.
    • Updates foreign workers' addresses, oversees their attendance at required courses, and ensures proper handling of work permits and passports.
    • Assists in arranging workers' dormitory accommodations and transportation.
    • Supports site staff with hardware material requisitions, maintaining accurate records of orders and delivery orders.
    • Resolves project-related conflicts, feedback, and complaints.
    • Serves as a liaison between internal and external parties, coordinating with clients, residents, government bodies, and other stakeholders as required.
    • Attends meetings and dialogue sessions as necessary.
    • Seeks management approval for any proposed action plans related to project matters.
    • Cordinaates and arranges necessary courses for site staff and workers.
    • Ensures proper document filing and organization.
    • Provides general administrative support to the project team.
    • Performs other assigned duties.
    • Possession of at least one Workforce Skills Qualification (WSQ) Statement of Attainment is preferred.
