Purpose of the Job


To provide proper and timely conveyance of voyage instructions, including pertinent details from the governing charter party and other information applicable for a particular voyage in line with company policies.

Liaise and partner with chartering, ship management, shipboard staff, customers, and vendors including port agents, terminals, ship managers and authorities to ensure the safe and efficient vessel operation in term of revenue and emission.

Ensure accurate maintenance of vessel status in IMOS to support accurate invoicing, cost containment and management reporting. This includes monitoring and tracking operations and emission performance coordinating with shipboard team and ship managers.


With line manager's guidance, to exercise cost control via efficient port turn around, good bunker procurement strategy, fuel consumptions and maximum utilization of cargo spaces.

Review and analyse voyages and vessel performances at sea and in port, make recommendations to Chartering / Shipmanagement functions with aim to optimise performance and utilization.

Key Accountabilities


Ensure voyage instructions from customers are received and understood and passed to the Master in a timely manner and to ensure customer receives all required information.

Appoint port Agents in time to ensure proper preparation is made for the upcoming port call and process and ensure PDAs are correctly posted into financial system remitted in a timely manner with control cash flow.

Also coordinate with port agents, terminals, and charterers to facilitate information exchange minimizing delays and improving turnaround.

Monitor and update all pertinent information to all parties and ensure updates are in IMOS in order timely and accurate generation of invoices for voyages as per the governing charter party terms and to manage monthly voyage performance (TCE) working with Finance and Operations Specialist in timely closing out month end TCEs.

Ensure correct generation of cargo documentation (bills of lading, discharge orders, LOIs) to support delivery of cargo freighting and claim purposes.

Provide support to Post Fixtures, Chartering, operations team and accounting departments related to voyage issues.

In conjunction with Bunker Manager and Master, ensure efficient bunker planning, procurement, by working ship's captain to execute the most economical voyage related to speed, routing, consumption, etc consumption.

Focal person for procurement of bunkers primarily for Singapore operated vessels and support needs of other regions as required.
Develop relationships and shipboard operational knowledge via regular ship visits.
Recommend improvement processes to line management and participate in customer KPI reviews.

Encourage to participate in Port and Customer Stakeholder functions to advance AET agenda and keep updated on changes in regulations and technologies impacting the business and industry for purpose of personal development, enhanced own knowledge and skill to support internal stakeholders, customers and add value to the organization in general.

Develop, motivate and share knowledge between staff to achieve higher productivity in delivering the departmental objectives.
Ad hoc duties as and when required i.e. supporting Crisis Management Responsibilities as required by role.
To comply with Company's policies and Code of Conduct and Business Ethics (CoBE).


Qualifications:


Education:
Chief Officer or Degree in Maritime Business or relevant Maritime qualification.

Experience:
Minimum 4 years' experience in commercial marine operations

Specialized knowledge:
Basic knowledge of shipping industry and tanker business and vessel operations.
