Responsibilities:


  • Coordinate and assist Service Manager to follow up updates on the final mobilization and demobilization requirements (travel, medical, visa) and schedule.
  • Perform all Service related administrative job such as tabulate Service Manhour Calculations (reports & expenses), Filing, Scanning, Uploading and Hardcopy Filing.
  • Coordinate with HR Admin to obtain VISA, air ticket, hotel and transport arrangement.
  • Coordinate with Customer and the respective Service Personnel on updating necessary documents to comply entry to the job site.
  • Raise PR for intercompany and Delivery Requisition for Service & Assembly related materials.
  • Coordinate and update purchase requisitions (PR) status.
  • Coordinate delivery of items related to Services.
  • Update status of Service Billing and ensure on time Billing.
- upport Service Personnel to ensure timely submission of duly signed service reports.

  • Ensure timely collection and collate written service reports from the Service Engineers, JB Engineers and Project Engineers doing service jobs for Singapore office.
  • Collaborate with various department in follow
- up actions after the meeting only when instructed.

  • Update and maintain proper service schedule and monitor engineering staff's daily movements.
  • Administer and maintain stock and working conditions for engineering tools and equipment asset records for the Service Department.
  • Assisst in generating weekly billing report.
  • Perform sorting/ clearing of service related documents, archives.
  • Support other Service related job assigned by the Service Manager.

Requirements:

years of relevant experience.

  • Preferably experienced in customer service, project coordination and admin support.
  • Able to support a team of service engineers to meet various project schedule, costing, customer expectation etc.
  • Demonstrate good interpersonal skill; coordinate with interdepartment head to achieve company goals.
  • Pursues excellence in all aspects of business.
  • Service oriented with analytical and problemsolving skills.
  • Support in building expert knowledge in the team.
  • Possess the expert knowledge to identify opportunities for change and the ability to convey the need for change.
  • Preferably knowledgeable on shipyard or site deployment requirements.
  • With adminstrative support experience for offshore and/or onshore site is advantageous.
