To support the Office and Facilities Manager in maintaining an efficient office and provide direct assistance to Senior Management when required.
Key responsibilities
- Assist in coordinating repairs, maintenance, and office improvements.
- Support the purchase order process, including raising orders, tracking deliveries, and liaising with suppliers.
- Assist in space planning and setting up for senior management.
- Maintain an inventory of office supplies, create purchase orders, and liaise with vendors for timely deliveries.
- Ensure tidy and stocked common areas.
- Assist in the implementation of safety protocols.
- Support senior management with meeting setups, travel arrangements, and other logistics.
- Handle mail and packages.
- Assist with office related vendor contract reviews and negotiations under the guidance of the Manager.
- Respond to facilitiesrelated inquiries from staff and senior management.
Skills & experience
- 12 years in an office support role
- Understanding of office management
- Familiarity with vendor relationships and purchase order process
- Ability to prioritise and multitask
- Effective communication skills
