    Description

    Major Responsibilities:

  • Executive Assistant to Tools & Outdoor Asia President & Asia Region HR Leader
  • Provide administrative support for travel arrangements such as flight and hotel bookings, arrange for airport pick-up and drop-off, and coordinate with local admin on itinerary/agenda and daily local transportation needs etc.
  • Facilitate travel visas, application of APEC card and late changes for travel arrangement for Asia President if/as required.
  • Handle President's travel and expense claims to ensure accurate and timely submission and follow through to ensure claims are approved and cleared in Concur
  • Organize and set up quarterly all employees' townhalls via Zoom and organize in-person leadership team and other meetings as required
  • Liaise with vendors e.g. hotels, on event arrangements, contract/agreement and invoice/payment processing thereafter
  • Render support to Corporate and/or Global T&O guests visiting Singapore as needed.
  • Office Administration and Facility Management Support

  • Work with Global Real Estate Lead, local Finance and HR on office lease renewal and/or office move or relocation as needed.
  • Liaise with WeWork, current vendor on Singapore office matters such as office access, meeting room bookings, new office passes and/or other WeWork matters or updates
  • Process monthly office invoices, freight, and invoices accordingly, working with Master Data team, GSS Finance and/or Controllership as required.
  • Ensure all contracts and/or agreements with third parties are cleared and reviewed by legal.
  • Work with Indirect Sourcing/Procurement as needed to source for suitable vendors.
  • Support local and international courier and delivery of documents for President and/or Asia/SEA Finance as requested.
  • Provide assistance to new employees on company credit card application and resolve issues relating to corporate card
  • Work with appointed telco on mobile handset issuance for eligible employees and on corporate mobile subscription plans as required.
  • Act as the site lead on all employee health and safety needs and get advice and support from SEA EHS as needed.
  • Any other administrative task as assigned.
  • HR Operations for Tools & Outdoor and Corporate Functions' employees in Singapore

  • Manage all day-to-day HR matters across the entire employee life cycle, including but not limited to recruitment, onboarding, off-boarding, probation assessment, work-pass, contract renewal etc.
  • Administer benefits such leave application, approvals and cancellations and attend to medical, dental and insurance claims' queries etc. as well as request for payslips, employment certification letters and/or adhoc request for verification of employment.
  • Organize and coordinate employee wellness, recreational and team-bonding events for Singapore employees
  • Lead employee communications with Singapore based employees, send out email updates, announcements and public holiday notices as required.
  • Work with Finance and Controllership on cost center or vendor master set up for new employees as needed
  • Administrator of Corporate Accounts for government and local agencies' portals such as MOM, SDF, WDA etc. to provide data, request for subsidy, submit renewal and/or maintain SBD information accordingly.
  • Provide information as necessary to Finance for annual budget planning for Singapore
  • Prepare monthly reports and update organization charts as required.
  • Attend to employee relations matters and/or complaints as it arises.
  • Participate in global, regional or local projects and handle any adhoc HR matters as assigned.
  • Requirements:

  • At least 3 to 5 years' prior work experiences in full spectrum HR and Office Admin in a multinational company is required
  • Prior exposure supporting senior leaders
  • Hands-on experiences using Workday and Zoom
  • Exposure to industrial or engineering sector is an added advantage
  • Degree holder in HR or related discipline
  • Effective oral and written communication
  • Customer centric and strong sense of urgency
  • Takes ownership to deliver on agreed outcomes
  • Positive can-do attitude and willing to learn
  • Attention to details and work independently with minimal supervision
  • Strong ethics and compliance mindset and high degree of discretion
