PRIMARY FUNCTION:


  • Supports VP Regulatory Affairs & Product Integrity APAC
  • Oversees overall administrative duties for Regulatory Affairs & Product Integrity APAC


Work together with rest of Innovation and other clusters Executive Assistant and Admin Assistants to ensure sustained and adequate coverage and support across all Regulatory Affairs & Product Integrity APAC.


RESPONSIBILITIES:


  • Coordinate, liaison and manage calendar schedules for VP
  • Coordinate and update personal changes and update organization chart regularly
  • Assist VP in preparing documentation and presentations
  • Assist VP on overall budget coordination/ tracking/ management/ reporting to make sure that all is done in accordance with ELC's policy and on budget
  • Assist in the requisition/ purchasing and monitoring of stationery usage for department.
  • Administer the onboarding/ offboarding processes for newly hired/ leaving employees for the teams.
  • Assist in planning and logistics for physical and online events, meetings, workshops for RA & Innovation
  • Support overall administrative duties for the Regulatory Affairs & Product Integrity Team
  • Assist Regulatory Affairs team on the filing and preparation of documents.
  • Assist Regulatory Affairs team in preparation of presentation documents.
  • In charge of daily mail for Regulatory Affairs team
  • Any adhoc assignment which may be assigned from time to time
  • Prepare reimbursement and tracking of travel expenses for VP Regulatory Affairs
  • In charge of travel and hotel arrangements for Regulatory Affairs team events and for the RA VP.
  • Assist in preparation of documents for travel trips.

Qualifications QUALIFICATION**:


  • Minimum 3 years of general admin experience preferred.
  • Good knowledge and appreciation of culture differences.
  • Possess strong interpersonal & personal organization skills.
  • Strong command of English, both verbal communication and written and a second Asian Language
  • Competent in computer technical skills: Microsoft Word, Excel and PowerPoint, Outlook, Teams & Zoom
  • High level of curiosity
