Personal Assistant Administrative Assistant - Singapore - AIVO CREATIVE CONSULTANTS PTE. LTD.
Description
Responsibilities:
- Handle standard office tasks such as filing, copying,and mailing.
- Schedule meetings, trips, and appointments for the Directors
- Create, review, and update documents for accuracy.
- Manage both digital and physical files, prioritizing data security and confidentiality
- Prepare and share meeting minutes; produce required reports.
- Support in arranging and coordinating office events and meetings.
- Arrange/coordinate meeting appointments and business schedule.
- Translate documents, conduct research and prepare documents for review to Director
- Perform some office duties and general administrative support.
- Maintain strict confidentiality and interact professionally with all level of Management, staff, business partners and external parties.
- Organize lunches, dinners arrangements for Director
- Organize travel arrangement, itinerary, accommodation, airport and ground transfers
- Travel & Accommodation Booking for Company Directors
- Involvement in HR team's engagement initiatives and programmes such as social activities, staff wellness/welfare initiatives, company trip, teambuilding events etc
Job Requirements
- Skilled in MS Office (Word, Excel, PowerPoint, Outlook) and using office tools.
- Highly discreet with sensitive information.
- Strong written and spoken communication.
- Organized with a knack for multitasking.
- Detailoriented and adept at solving problems.
- Willing to work follow Company Director schedule
- Positive working attitude & high initiative
