Responsibilities

  • Provide comprehensive support and assistance to officers in generating purchase orders (PO), service entries (SE), and processing einvoices.
  • Monitor and follow up on pending purchase orders/work orders and invoices.
  • Support officers in initiating training requests within the Human Resource System (HRS) and coordinating with course providers for course registration, including handling payment requests in PROMPT.
  • Schedule Safety and Quality inspections for projects, notifying project stakeholders about inspection dates, and sending timely reminders.
  • Assist officers in consolidating data from inspection reports and uploading them into the Tableau Dashboard, which may involve basic data analysis and trend identification.
  • Manage internal stakeholder inquiries and oversee matters related to procurement and distribution of personal protective equipment (PPE).
  • Maintain the Division's webpage by ensuring the availability of uptodate documents for retrieval.
  • Assist officers in compiling monthly safety data from various projects.
  • Support officers in the onboarding process for newly awarded projects and facilitate the connection of project teams with Safety School.
  • Aid officers in taking minutes during Department and Division Meetings.
  • Assist officers in coordinating Seminars and Talks, including meal procurement and registration duties.
  • Carry out any other administrative tasks as instructed by the Corporation or its Representative during the contract period.

Requirements:


  • Minimum requirement GCE "O" Level/SPM

Preferred:
GCE 'A' Level/STPM/UEC.

  • Proficient communication and writing skills in English.
  • Ability to multitask and meet deadlines as stipulated by officers.
  • At least 3 years of relevant work experience.
