Administrative Executive


We are seeking a team player to join our Administration team, support our on-going projects and pursuits for new opportunities, spurring SAA's growth in 2023 and beyond.

In this role, you will work with project teams for project documentation, coordinate, and support pursuits and serve as administrative support for office matters.


To succeed in this role, you should be able to manage tight and simultaneous timelines across ongoing office administrative needs and pursuit requirements.

Strong writing skills, attention to detail with each unique task, and a pro-active work mindset are also essential.

Reporting to:
Admin Manager/ Business Development Director


Responsibilities:

Project

  • Assist Project Architect and Project Team members in all project related administrative matters.
  • Organize, track and file all incoming/outgoing correspondences, documents and information data.
  • Set up Project Quality Plan File.
  • Keep updated records of assigned projects stage Completion Certificate, Interim Certificate etc.
  • Followup on incoming correspondences for authority related matters.
  • To ensure that payments for the tenancy vetting fees are collected for the respective commercial projects.
Pursuit Support

  • To administer and support the pursuit process, and package the pursuit documents for submissions, in coordination with Brands and Comms team.
  • Prepare help prepare bid timelines and track teams across key events to ensure ontime delivery.
  • Prepare help prepare bid checklists and matrices in conjunction with timeline to track all deliverables to be coordinated, produced, and submitted.
  • Monitoring of bid preparation by various stakeholders to ensure compliance to key submission, design, and evaluation criteria.
  • Coordinate printing of documents, reports and drawings for submission.
  • Help generate regular reports and updates on activities, pipeline status, and market intelligence for Business Development Director.
General Admin

  • Coordinate and set up for meetings where required.
  • Update of monthly Timesheet.
  • Administrative support for Office Safety and ISO matters
  • Any other ad hoc tasks as assigned

Requirements:


  • GCE O/A or with Diploma in Administration or equivalent
  • Min 1 year of relevant experience
  • High Profiency in MS Office
  • Proactive, flexible, diligent and wellorganized
  • Independent, positive working attitude and able to handle multiple tasks
  • Good communication and coordination skills
