The Event Coordinator will drive the administrative and logistical planning for Client events across SEA ensuring smooth coordination from kickoff to wrap-up. Create detailed run sheets timelines checklists and documentation that empower local teams to execute flawlessly Manage procurement tasks such as raising POs coordinating with vendors tracking deliveries and maintaining inventory of event supplies Oversee the preparation and distribution of event kits signage swag and materials needed for regional experiences Track budgets reconcile invoices ensure financial processes follow Client regional compliance requirements Quality Craft & Collaboration Partner with SEA Workplace Lead to gather event requirements understand cultural nuances ensure every experience reflects Clients values standards Communicate clearly proactively contextually cross-functional partners keeping everyone aligned unblocked Build strong relationships with vendors internal teams quality reliability player-focused mindset Operational Excellence & Continuous Improvement Identify opportunities streamline event processes improve tools refine collaboration across SEA Develop templates playbooks SOPs best-practice guides scale Clients growth Ensure all processes uphold Clients standards compliance safety operational integrity Responsibilities Administrative Support KLO SEA offices excluding Singapore In addition to event coordination they ll play key role supporting day-to-day workplace operations across our SEA offices They ll partner closely with SEA Workplace Lead local office leads champions vendors maintain safe functional Client-quality work environment employees need do their best work Workplace Coordination Daily Operations Maintain operational excellence across SEA offices monitoring day-to-day workplace activities ensuring smooth functioning facilities common areas Serve primary coordination points workplace matters helping local teams stay aligned informed Support Moves Adds Changes MAC office layouts floor plan updates cross-team coordination Vendor Facility Management Act core point contact facility-related issues cleaning maintenance security building access Manage vendor relationships scheduling routine maintenance repairs facility services SE offices Oversee vendor performance assist contract renewals tracking contract expirations sourcing new vendors when needed Maintain accurate inventories office supplies pantry items equipment timely replenishment follow-ups vendors Manage vendors daily employee needs snacks beverages office supplies equipment upkeep pantry services Budget Procurement Support Plan supply expenditures allocated budgets support procurement workflows workplace operations Assist budget tracking vendor quotes cost evaluations responsible spending Employee Visitor Experience Help foster fun safe clean welcoming environment reflects clients culture supports productivity Support planning coordination SE internal events activities build engagement community Assist local teams visitor management lobby coordination guests reach correct meeting hosts Handle workplace facility enquiries feedback service requests routing appropriate teams timely resolution Perform general administrative duties support smooth workplace operations coordinating services landlords vendors Compliance Operational Support Assist PSEC-related responsibilities ensure workplace processes follow client standards building requirements Maintain documentation checklists operational records consistent scalable KLO operations SE Desired Characteristics Craftsperson mindset care about quality clarity doing things well Collaborator heart thrive cross-team environments Resourceful adaptable cool under shifting priorities Culture-carrier excited help create memorable experiences employees.Job description
