    About the Client:

    The client is a growing estate planning law firm based in New York. The firm receives a high volume of inbound leads daily through online forms and Facebook marketing campaigns. Due to the rapid increase in demand and daily lead flow, the firm is expanding its intake team to ensure every potential client receives timely support and appointments are efficiently scheduled. This is the first time the company is hiring internationally and they are seeking a reliable, well spoken and proactive virtual assistant to join their intake operations.

    About the Role:

    The firm is hiring an appointment setter who will handle inbound lead follow up, engagement, qualification and scheduling. The person in this role will contact prospects who have already submitted a form requesting estate planning services. The primary focus is to speak with potential clients, answer basic questions, follow the internal script, navigate objections using the list provided and book them into the attorney's calendar. The ideal candidate communicates clearly, builds rapport easily, thinks quickly on their feet, follows processes and maintains a calm and professional demeanor on every call. Spanish fluency is required.

    Key Responsibilities

    1. High-Conversion Appointment Setting

    • Appointment Confirmation: Confirm scheduled appointments and ensure clients are prepared and committed to attending.
    • Proactive Contact: Immediately contact all new warm leads received through online inquiries.
    • Lead Qualification: Quickly qualify leads to ensure their needs align with the services offered.
    • Scheduling: Reorganize leads' preferred contact times into specific in-office appointments for the legal team.
    • Conversion Focus: Utilize sales techniques, build rapport, and deal with simple objections to maximize the number of clients brought to the table.

    2. Bilingual Communication & Sales Support

    • Bilingual Support: Must be able to set appointments and make clients feel comfortable in both English and Spanish.
    • CRM Management: Navigate the firm's CRM (Clio) to access lead information and manage the pipeline.

    3. General Administrative Support

    • Utilize basic computer skills for daily operations.
    • Provide administrative support to streamline the sales and intake process.

    Technical & Experience

    • Bilingual Fluency: Fluent in English and Spanish (spoken and written).

    System Familiarity: Prior experience using CRM platforms (Clio, or similar sales management tools) is required.
