About the role


Woods Bagot Singapore studio is looking for an enthusiastic individual looking for a broad role to support a small but growing studio to assist in operations, HR, and administration as and when required.

Previous insight and knowledge of the interior design/architecture industry in Singapore and Southeast Asia is an advantage but not as desirable as a motivated individual who is looking to learn and grow

You will report to the Studio Leader & mainly assist the studio in the following:

A. Office Administration**- Support the effective and efficient day-to-day operation of the Studio and maintain a safe and secure work environment.

  • Monitor ordering of supplies, assist with general administrative duties as needed across the Studio, including reception, mail, and ensuring the cleanliness of the Studio, hospitality, and client service of the Studio, etc.
  • Manage the studio's calendar and liaise with relevant parties on scheduling studio appointments.
  • Support Studio Practice Management by way of conducting internal project audits and setting up client reviews in line with WB procedures and policy.
  • Oversee and coordinate travel and accommodation bookings for the Studio.
  • Handle ad hoc projects assigned by the Studio Leader.

B. Human Resources**- Conduct orientation induction for new hires in the Studio, including allocation of seats, login details, IT equipment, contact information, etc.

  • Track staff's timesheets and forecast monthly on internal manpower resources to ensure sufficiency and functionality within the studio.
  • Coordinate staff welfare matters such as celebrations, insurance, and any other staffrelated benefits.
  • Plan monthly team bonding activities.

C. Finance (Assist)**- Support in issuing invoices and coordinating between clients and suppliers on payment matters.


Personal Competencies

  • Minimum 23 years of office administration or human resources experience, preferably in the design or constructionrelated industry.
  • Degree holder in human resources disciplines is an advantage but not essential.
  • Enthusiastic and energetic individual who is able to work in an agile and responsive setting, adapting to dynamic and growing team requirements.
  • Excellent interpersonal skills with communication in spoken & written English, desirable if a Mandarin speaker.
  • A high level of skill using Microsoft packages and Microsoft Outlook is essential.
  • Must be based in Singapore and have the right to live and work in Singapore.
