Description
**Roles and Responsibilities- Scanning and Indexing
- Perform precheck to ensure all sales submission documents received tally with document lodgement form
- Scan and index all sales submission received from representatives
- Pack submission for dispatch to Principals with accompanying batch list (where applicable)
- Pack internal documents and arrange for retention at offsite storage
- Attend to Principals/Representatives queries on submissions
- Sales Submission
- Processing of pre/post sales submission from representatives for submission to product providers
- Checking of submission documents based on regulatory and internal guidelines to assess the status of submission & perform the necessary followup
- Perform timely data entry on sales submissions and maintenance of client and policy data
- Checking of data entry to ensure accuracy
- Meeting of KPIs accuracy, quality output and service levels
- Manage enquiries through common mailbox, internal and external stakeholders promptly
- Adherence to regulatory and internal guidelines for processing functions
- Reporting
- Prepare and provide accurate and timely update of submission report
- General Administration
- Distribute and maintain proper records of all policy documents from principals where applicable
- Inventory management of forms, brochures, and documents
- Send broadcast/announcement to all relevant stakeholders
- Systems & Others
- Work on enhancement for inhouse system and perform User Acceptance Testing (UAT) for changes implemented and issue logs raised
- Update Operation Manual on a timely basis
- Review and streamline workflows where applicable
- Work closely with crossfunctional teams for processing functions with interdependencies
- Identify interdependencies when analyzing issues and proactive to propose resolution
- Assist the HOD/Team Lead and perform adhoc tasks and projects as and when assigned
Requirements:
- Minimum diploma holders
- Fresh graduations welcomed
- Proficient in Microsoft Office Applications (Words, Excel, and Powerpoint)
- Selfmotivated and able to work independently
- Able to prioritize and work in a fastpaced environment
- Ability to multitasks and take ownership of assigned tasks
- Good communication, time management and organizational skills
- Analytical and meticulous
- Positive attitude and willing to learn
