    Roles & Responsibilities

    Job Summary:

    • The Executive Assistant ("EA") will provide high-level support to the key management. The EA reports directly to the Senior Project Manager and provides executive support organises and coordinates executive outreach.

    Job Responsibilities:

    Main Activities includes:

    Board Meetings/AGM/EGM/Adhoc meetings ("Meetings") matters:

    • Compiles agendas for meetings;
    • Prepares Meetings packages and distributes them to BOD & Members at least two weeks prior to the meeting;
    • Attends, records and transcribes minutes of all Meetings;
    • Transcribes, formats, inputs, edits, retrieves, copies and transmits correspondences, documents, data and graphics;
    • Word processes for manuscripts, letters, documents and proposals;
    • Processes outgoing mails;

    Secretarial matters:

    • Maintain clear and professional communication with clients, partners and internal team;
    • Assist in monitoring and evaluating various business departments and follow up with their operational performances and outcomes;
    • Attend meeting to take detailed minutes and follow up on action tasks and deliverables;
    • Draft and prepare correspondence for internal announcements/notices;
    • Assist in planning events and visits; and
    • Other ad-hoc duties as assigned.

    Job Requirements:

    • Diploma or Degree in business administration, management, or a related field
    • At least 3 years of work experience supporting senior executives
    • Excellent communication and collaboration skills
    • Strong logical thinking ability, analytical and problem-solving skills
    • Ability to work independently with minimal supervisor
    • Proactive and positive attitude with the ability to changing priorities and deadlines
