    Overview

    The Head, Ops is responsible for the strategic and operational oversight of the assigned clinical services and clinic operations, ensuring provision of quality patient care, business growth and financial viability. In partnership with the Clinical Heads, he/she will drive service transformation, and ensures high standards in patient care, service quality, and resource efficiency.

    Job Responsibilities

    You will be responsible for the following:

    1. Management of Clinical Services

    • Primary liaison to Clinic Heads and Senior Clinicians, ensuring operational support to meet service needs and speciality growth plans
    • Support Clinical Heads in Strategic Planning of Clinical Services i.e. prepare workplans, Manpower planning & Budgets.
    • Lead Operations support with Clinical HOD in planning and implementation of clinical services across JHC such as Ward, OT and SOC to achieve sustainability (e.g. procedures, diagnostics, service planning and workflows).
    • Lead Operations support in development of programs and quality improvement projects i.e. data management, guide coordinators, etc.

    2. Management of Clinic Operations

    • Manage clinics workload to meet budgeted clinic attendances & procedures.
    • Manage clinics utilization to optimize clinic resources.
    • Manage and carryout measures to ensure low/no show rates.

    3. Service Excellence & Feedback

    • Supervise and monitor the performances of the frontline services and ensure smooth and efficient daily operations.
    • Proactive in implementing measures to correct service problems and ensure hassle free experience.
    • Prompt response in handling patients' complaints/feedbacks.

    4. Access to Care

    • Proactive in managing SOC Appointment Lead time.

    5. Staff and Talent Management

    • Track performance at individual staff level to meet development goals and organizational alignment
    • Play an active role in communicating services, known issues and policies changes to staff i.e. Hospital policy on data protection.
    • Conduct OJT for new Executive/Manager for services
    • Conduct regular communication/engagement sessions i.e. at least twice a year.
    • Identify and coach staff at all levels; able to draw on other capabilities to perform expanded/enhanced roles.

    6. Department Workplans & Project Management

    • Support HOD in planning and implementation of workplans.
    • Provide support for design and implementation of projects and pilot programs.
    • Lead and monitor projects to achieve the desired objectives and to highlight to HOD when they fall below their targets.
    • Lead improvement projects and make recommendations about processes that need improvement for areas directly involved.

    7. Project and other Assignment

    • Undertake any additional assignments or projects as assigned

    Requirements*


    • Master Degree from a recognized institution


    • At least 8-10 years of experience in service/healthcare related industry in a supervisory role preferred


    • Experience in business development and marketing, preferably in a hospital


    • Good communication and interpersonal skills


    • Good presentation skills and ability to write well


    • Experience in working across teams/departments


    • Knowledge of hospital operations will be advantageous
