Description

Remotely to the Manager based out of Singapore, you will be responsible for all office matters and extending secretarial support to the Senior Regional Executive in all aspects of secretarial work.


Office Administration

  • Monitor inventory levels of office supplies, order and replenish supplies as needed, and ensure costeffective procurement.
  • Oversee office upkeep to maintain a clean, organized, and professional working environment and equipment maintenance ensure a safe working environment.
  • Handle incoming courier and directing them to the appropriate parties.
  • Support the onboarding process for new employees.
  • Establish relationship with Landlord.
  • Responsible for General Insurance renewal negotiation and execution adhering to the lease agreement.
  • Regularly assess vendor performance and make recommendations for improvements.
  • Collaborate with HR and IT for New employees onboarding.
  • Partner closely with IT for any basic troubleshooting and/or rolling out of Global IT policies/work instructions.

Executive Support

  • Secretarial support to Regional Senior Executive including calendar management, meeting coordination, expenses reporting and travel arrangements.
  • Assist in preparation or collate of regional reports and/or presentations.
  • Act as a liaison on behalf of executives and internal/external stakeholders.

Requirement

  • Previous experience in office management and secretarial support to senior executives on regional capacity.
  • Excellent Communication skills.
  • Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively.
  • Strong problemsolving abilities, with the capacity to identify issues and implement practical solutions.
  • Resourcefulness and initiative, with the ability to work independently and take ownership of tasks and projects.
  • Professional demeanour and appearance, with a positive attitude and strong work ethic.
  • Ability to maintain strict confidentiality of sensitive information and handle confidential matters with discretion.
