Work Dynamics - Integrated Facilities Management


Location:

CBD
Objective

To proactively support the Facilities Management Team in day-to-day management of financial operations and administrative services in our client's corporate office facilities.


Responsibilities:

The Facilities Executive will assist the Account director/Cluster lead with day-to-day, facilities, finance and administration-related activities:
Receive, process and monitor invoice payment on a daily/weekly/monthly basis in line with established payment cycles and client requirements

Liaising with vendors on timely submission of invoices and/or required corrections

Operate the financial system software to raise Purchase Orders for all services and products procured by the Facilities Management team

Generate financial summaries for inclusion in monthly reports

Manage a filing system including the administration of contracts and all other facilities documentation

Assist in the creation of Helpdesk/service request reports

Assist in updating the vendor database

Reporting and administrative support

Key Result Areas
Successful and timely processing and payment of all invoices

Attend to ad-hoc administrative requests and provide support where necessary

Required Qualifications, & Experience
Diploma in Finance or Business Administration or equivalent qualification

Prior experience in finance and administration functions


Required Skills:

Computer savvy and high proficiency of excel and financial software

Detail-oriented and a passion for quality

Goal-oriented and driven to resolve issues quickly

Strong interpersonal skills with a service mindset (customer oriented)

Team player and able to work independently

Strong problem solving skills and 'can do' attitude

Flexible, confident, motivated, energetic and trustworthy
