Key Responsibilities
Corporate Secretarial To assist and support the Group Corporate Secretary with and including the following:

  • Timely and efficient performance of annual statutory and regulatory compliance obligations. This includes the diligent preparation for the timely submission/filing/lodgement with the relevant government or statutory bodies or authorities, of statutory returns, the registration and update of new or retiring Members and Directors of the School, the Foundation or any changes in their particulars, and other statutory and regulatory compliance obligations or matters in relation to the School, the Foundation and any related entities.
  • Close monitoring of deadlines and preparatory work for timely submissions and lodgments in compliance with regulatory obligations.
  • Monitoring and preparation for all statutory and corporate meetings (e.g. Board, Board Committees and Board Working Groups) in a responsible and timely manner and followup actions for all meetings.
  • Maintenance of accurate attendance and other records of all statutory and board meetings.
  • Securely and properly maintaining statutory registers, minute books, corporate secretarial and company records and records of all matters undertaken by or involving the function.
  • Preparation of documents and actions for onboarding of Directors including the collation and submission of documents and compliance with onboarding processes.
  • Preparation of and follow up on annual Conflict of Interest (COI) declarations of the Directors and CEO, of Ad Hoc COI declarations, and maintenance of the COI register.
  • Research and data collection for corporate secretarial and boardrelated matters.
  • Review of the Constitutions of the School and the Foundation or related entities and Terms of Reference or others, where required.
  • All administrative functions of the Corporate Secretariat function, including provision of administrative support to the Board of Governors where required.
  • Assistance with minutes of meeting, if required.
  • Renewal of the School's operating license registered with the Committee for Private Education ('CPE') (renewal for 2023 completed, next renewal due in few years).
  • Provide secretarial support.
  • Coordinating and communicating with other departments or external parties or agencies on corporate secretariat or board related matters.
  • Maintenance of accurate and current records of the department including all Professional Development opportunities and Boardtraining matters.
  • Being responsible to report any concerns about a child to the Designated Safeguarding Lead.

  • Any other corporate secretarial, administrative or ad hoc duties as and when required by the Group Corporate Secretariat.

Requirements:


  • Minimum diploma holder or equivalent
  • Proven experience of providing corporate secretariat support
  • Excellent command of written and spoken English
  • Proficiency in Microsoft Office Applications (MS Word, MS Excel and MS Powerpoint) and willingness/aptitude to learn new programs
  • Excellent organisational, coordination and communication skills
  • High integrity, honest and resourceful
  • Analytical and problemsolving skills
  • Discretion with confidential information
  • Proactive, selfmotivated and highly committed with the ability to work independently
  • Excellent interpersonal skills with the ability to build relationships across all levels, internally and externally

Salary:
$4, $6,000.00 per month

Education:


  • Local Polytechnic Diploma (preferred)

Experience:
