Description

LOVE, NILS is a Singapore registered IPC charity that provides support to children with cancer and their families in Singapore.

The Finance and Operations Manager plays a key role, contributing to the effective and efficient operation of LOVE, NILS across finance and accounting functions.

This role ensures compliance with all statutory and regulatory responsibilities and the highest levels of integrity in financial reporting. This role manages operational tasks necessary to the successful functioning of the organization. This role reports to the CEO.


Key Responsibilities
Finance

  • Direct all finance operations of the organization, including recording of all donations, issuing tax receipts, liaising closely with fundraising department for donation/grant tracking, maintaining all financial systems, CRM processes and XERO.
  • Maintain and enhance integrity in financial reporting by reviewing and refining policies and procedures, for approval by the CEO and Board.
  • Ensure compliance with Charities Accounting Standards, Code of Governance and all other relevant legislation and policies.
  • Contribute to the development and management of the organization's financial management and reporting framework.
  • Prepare the annual budget in consultation with other departmental heads, CEO and Board. Provide financial analysis and contribute to the development of the organization's operational plans and budgets, in conjunction with the CEO and Board.
  • Prepare monthly, quarterly, and annual financial and management accounts for provision to the CEO and Board.
  • Prepare documents for annual audit and liaise with auditors.
  • Work closely with the Fundraising and Program Directors to produce required reports.
Operations

  • Responsible for key administrative tasks, including maintaining provider contracts and ordering supplies, as needed.
  • Ensure timely review and renewal of all insurance policies on an annual basis.
  • Human Resources
  • Manage the organization's employment contracts.
  • Maintain HR files and HR Easily platform.
  • Process monthly payroll and CPF.
  • Recruitment tasks, including posting job descriptions to relevant sites, interviewing applicants, and onboarding new staff.
  • Maintain and manage adherence to health and safety policies and procedures and ensure compliance and adherence to all relevant legislation.
  • Other tasks, as required by CEO.
Compliance

  • Exercise daytoday responsibility for the operational management of the company's statutory functions and responsibilities.
  • Ensure lodgments into Charity portal, ACRA, IRAS and other platforms are completed in a timely manner.
  • Liaise with corporate secretary.
  • Manage the internal audit of all governance policies, in accordance with the Code of Governance.
  • Manage the organization's legal contracts with subcontractors, in liaison with the organization's solicitors and advisors.
  • Ensure privacy and data protection policies and processes are established and implemented.

Professional Qualifications
Essential

  • A bachelor's degree.
  • Knowledge of accounting regulations, procedures, and policies.
  • Extensive administrative, accounting and finance management skills.
  • Handson budget management skills, including budget preparation, analysis, decisionmaking and reporting.
  • Strong knowledge of relevant accounting software (XERO preferred).
  • Excellent organizational abilities including planning and project management.
  • Three or more years nonprofit management experience.
  • Other: meticulous attention to detail, selfmotivated, takes initiative, team player, excellent communication skills.
Highly Desirable

  • Experience with nonprofit accounting, particularly IPCs.
  • Knowledge of the Charities Accounting Standards, Code of Governance, and other relevant regulations.
  • Membership of a professional accounting, management, or governance organization.
  • Familiarity with IT systems including accounting, document management systems (DMS) and Customer Relationship Management (CRM) databases.
Part-Time -.6 FTE (24 hours per week)

Salary range - $3500-$4000
