- Executive Support: Manage the CEO's calendar, including scheduling meetings, appointments, and travel.
- Meeting Management: Organise meetings including booking rooms, organising food/drinks, setting up virtual meetings, sending reminders, preparing agendas, taking minutes and following up on action items.
- Travel Management: Arrange travel including preparing itineraries, making visa applications, booking flights, accommodations and transportation.
- Communication Support: Effectively handle all communication channels including collecting/receiving/fielding inquiries, composing responses and forwarding information, as needed. Ensure efficient communication flow within the team and with external parties, and maintain confidentiality of sensitive information.
- Project Support: Assist with ongoing Company projects by preparing and tracking documents, ensuring timely task completion and maintaining accurate records.
- Information Management: Conduct research, gather data and prepare reports or summaries to support decision-making.
- Document Management: Prepare, draft, edit and proofread various documents, reports, presentations and other materials. Effectively file and maintain records for easy access.
- Finance Support: Review and verify expense claims and receipts, ensuring accuracy and addressing discrepancies. Prepare invoice including monitoring accounts receivables and following up with customers to ensure timely collection of accounts receivables.
- HR Support: Manage employee records including attendance, leaves and medical certificates.
- Office Management: Oversee the day-to-day operations of the office including maintaining office supplies and liaising with building management on maintenance and services.
- Problem-solving: Proactively anticipate needs and adapt to changes to ensure smooth execution and productive workflow. Handle ad-hoc duties as required.
- Diploma or higher education in any field
- Minimum 1 year relevant working experience
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Singapore citizen or SPR with strong command of spoken and written English
- Strong interpersonal skills with ability to communicate clearly and concisely
- Strong time-management and organisation skills with attention to detail
- Ability to multitask and prioritise effectively to meet deadlines
- Ability to work independently and as part of a team
- Strong problem-solving and analytical skills with initiative to improve efficiency and productivity
- Proficiency in other languages (e.g. Mandarin, Tamil)
