    Description
    The purpose of this position is to provide assistance to the facility management team to ensure the successful competition of client facility needs. ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Provides reports on open and closed work order and check status with the appropriate technician/vendor
  • Train vendor on work order and billing procedures processes voices and ensure proper cost center coding
  • Prepare A&A works quotation for Client update and master list
  • Managing EHS & documentation system
  • Update Periodic Maintenance schedules
  • Prepare facility performance chart
  • Facilities Management man hour report to EHS
  • Liaise with contractors on risk assessment form and WSQ assessment
  • Raise purchase requisition and create a service entry in SAP
  • Provides visitors with information to navigate the building including pointing out nearest amenities and fire exits. Issues visitor passes and validates parking.
  • Answers telephone in friendly, professional manner. Maintains accurate records of service requests and status. Arranges guides as needed. Receives and directs incoming calls to appropriate personnel/tenants and voicemail.
  • Perform visitor volume tracking & reporting, reception services, visitor refreshments/catering, management of office and pantry supplies
  • Periodically inspects common area equipment to ensure good operating condition. Arranges equipment service as needed. Determine standard supplies and information to be maintained at the front desk. May assist with temporary signage.
  • Performs general administrative duties associated with distributing packages and mail as required. Record inbound and outbound courier, freight, and mail. Meters mail. Arranges messenger service as needed. Follows location security procedures for screening inbound deliveries.
  • Supports with meeting and events tasks as assigned.
  • May provide reporting and insight to clients and facilities teams to improve service delivery
  • Other duties as assigned.
  • REQUIREMENTS
  • Minimum of 3 years of experience in facilities management or related field
  • Excellent verbal and written communication skills
  • Experience working with vendors, safety officer and property managers.
  • Proficiency in Microsoft Office and facilities management software
  • Ability to work independently and as part of a team
