About the role:
Key Responsibilities- Plan, escort and supervise the execution of the maintenance and repair of office facilities and equipment, office cleaning, pantry facilities and supplies.- Manage and monitor pantry inventory and expenses.- Sourcing, ordering of corporate gifts and coordinating with vendors on delivery- Monitor security systems, review and submit security reports.- Access card control and issuance management.- Support the corporate business management continuity program and activities.- Inventory checking and maintenance of health and safety-related facilities.- Coordinate corporate annual fire drill events.- Conduct briefing on facilities, health and safety and business continuity for staff during the new hire orientation program.- Assist in the renewal of maintenance contracts.- Review and allocate costs to the relevant departments before submitting invoices for approval and payments.- Mobile/monitor/docking station purchasing- Assist in office relocation, fit-out, refurbishment and renovations- Space management - allocate and manage facility space for maximum efficiency.
Supporting the business with iOffice workspace reservations, amendments and reporting as requested.- Ensure business services process is compliant with AIG policies and with Regulatory requirements.
Meet deliverables for local Regulatory examination, internal or external audits and ensure timely closure of issues raised.- Renewal of eco office and workplace health and safety certification- Other reasonable administrative tasks and duties as required from time to timeWhat we're looking for:

- Understand the importance of being the first point of contact at AIG Singapore for all office and business services related matters
- Remain calm and demonstrate good conflict management and resolutions skills where appropriate
- Strong expense and contractor management skill
- Significant knowledge and understanding of health and safety requirements
Key Experience:
- Diploma or Bachelors' degree in Business Administration/ Building Services Engineering/ Estate Management/ Facilities Management or equivalent
- Building and M&E knowledge, with handson facilities management experience will be advantageous
