Description

Administration

  • Prompt update and keying in of data and statistics for reporting to funders
  • Manage database of youths, caregivers, volunteers, network partners, etc.
  • Submit and key in all participants' attendance, registration forms, volunteer forms, evaluation forms and any other relevant documentation as and when required by Programme Head
  • Compile and ensure delivery of documents to HQ and other centres on regular basis

Finance

  • Work closely with Finance Department of SAMH
  • Submit and key in budget spreadsheet for centre expenses on monthly basis
  • Bank in cash/cheque to the bank when necessary
  • Ensure all invoices, gift receipts, receipt booklet, and forms are sufficient
  • Handle purchase requisite for the centre and to source for quotations when necessary
  • Manage staff claims and reimbursements

Operations

  • Maintain all the administrative files and ensure all proper procedures are in place
  • Ensure regular stock take of the materials, inventory and assets and to replenish or inform Head to purchase materials when stock is low
  • Oversee and ensure cleanliness and maintenance of centre, including supervising cleaning trainees and liaison with vendors
  • Answer phone call enquiries when necessary and to cancel sessions if relevant staff is unable to conduct the session
  • Liaise with external parties when external facilities are needed

Others

  • Support and assist in outreach booths and other SAMH projects.
  • Perform other duties as assigned by Programme Head and the SAMH Management Team, which at times, Administrator may require to perform duty beyond normal work schedule.
  • Comply with all existing regulations and SOPs of SAMH.
  • To maintain regular meetings with colleagues and provide feedback for the programme
  • Any other duties as assigned by Programme Head / Assistant Director

Requirements:


  • Diploma in Business Administration or relevant disciplines
  • Must be proficient in Microsoft Office (MS Word, Excel and Powerpoint). Experience working in Social Service Agencies will be an added advantage
