    Roles & Responsibilities

    Responsibilities:

    1. Purchase Management:Generate purchase quotes and handle procurement processes based on requests from managers and supervisors.
      Ensure seamless coordination between various departments for efficient procurement.
    2. Sales Order Processing:Assist in converting sales quotes to sales orders in our NAV system upon receiving customer order confirmations.
      Ensure accuracy and timeliness in processing orders to meet customer expectations.
    3. Invoice and Delivery Management:Verify vendor invoices and delivery orders to ensure compliance with company requirements.
      Facilitate smooth closure of procurement processes by reconciling invoices and delivery orders.
    4. System Operations:Administer D365 system operations, including maintenance, troubleshooting, and error resolution.
      Ensure the system's functionality remains optimal for efficient business operations.
    5. Service Call Management:Manage service calls during office hours and accurately record reported incidents in D365 systems.
      Coordinate follow-up activities to ensure timely resolution of reported issues.
    6. Meeting Coordination:Organize, coordinate, and facilitate monthly Technical Operation meetings.
      Ensure efficient minutes taking to capture key decisions and action items.
    7. Expense Claim Processing:Assist in the submission of monthly expense claims within the business unit.
      Ensure adherence to company policies and guidelines during expense claim processing.
    8. Audit Support:Participate in internal and external audits related to operations.
      Update documents with the latest operational processes as required by audit findings.
    9. General Support:Provide ad-hoc support to the Business Unit as needed.
      Cross-cover administrative roles when required to ensure smooth operations.
    10. Timekeeping and Documentation:Compile and cross-check overtime timesheets for submission to HR.
      Maintain accurate records and documentation related to operational activities.

    Requirements:

    • Previous experience in operations support roles preferred.
    • Proficiency in Microsoft Office Suite and ERP systems
    • Strong organizational and multitasking skills.
    • Attention to detail and problem-solving skills.
    • Ability to work independently and as part of a team.

    Monday to Friday 06.30am to 3.30pm

    Saturday 06.30am to 10.30am
