Location: 3 Changi North Street 2 (7 bus stop from Simei MRT)
Salary: Up to $4500
Working hours: Mon to Fri, 9am to 6pm
Job Description:
The role of Administrative Coordinator supports daily administrative operations while coordinating and monitoring ongoing projects across the organization. This role ensures smooth office functioning, timely project execution, and effective communication between internal teams, clients, and external partners.
Job Duties:
Administrative Support
- Manage day‑to‑day office operations, including scheduling, correspondence, filing, and document management
- Prepare reports, meeting minutes, presentations, and other administrative documents
- Maintain office supplies, equipment, and vendor relationships
- Handle incoming calls, emails, and inquiries professionally
- Support HR-related tasks such as onboarding, attendance tracking, and maintaining staff records
Project Coordination
- Assist in planning, organizing, and executing projects according to timelines and requirements
- Track project progress, deliverables, and deadlines, ensuring timely follow‑ups with stakeholders
- Coordinate meetings, workshops, and project-related events
- Prepare project documentation, status updates, and reports for management
- Liaise with internal teams and external partners to ensure smooth communication and alignment
Data & Documentation Management
- Maintain accurate project files, databases, and documentation
- Compile and analyze data for reporting and decision-making
- Ensure compliance with organizational policies and project requirements
Communication & Stakeholder Engagement
- Serve as a point of contact for project-related queries
- Facilitate clear communication between departments and external stakeholders
- Support client engagement activities, including scheduling, follow-ups, and documentation
General Support
- Assist management with ad‑hoc tasks and special assignments
- Contribute to process improvements and workflow optimization
- Support organizational events, initiatives, and operational needs
Requirements:
- Strong Organizational and Multitasking abilities
- Excellent written and verbal communication skills
- Proficiency in office software (e.g., Microsoft Office, project management tools)
- Ability to work independently and collaboratively
- Attention to detail and a proactive mindset
- At least 2 to 3 years of relevant experience
