Position Overview:
The Executive Assistant plays a crucial role in ensuring effective communication and coordination between the company and external stakeholders such as bankers, auditors, forwarders, customers, suppliers, and various government departments.
This role requires a basic understanding of finance, marketing, and GST (Goods and Services Tax) regulations to assist in related tasks.
The Executive Assistant provides vital support to the executive team by managing correspondence, arranging meetings, and facilitating information exchange.Responsibilities:
- Stakeholder Liaison:Serve as the primary point of contact for bankers, auditors, forwarders, customers, suppliers, and government departments.
Understand and address their concerns, requests, and inquiries promptly and effectively.
Prepare and review business documents, reports, presentations, and financial statements as required.
Ensure accurate and timely dissemination of information to relevant parties.

Event Coordination:
Schedule and organize meetings, conferences, and appointments involving external stakeholders and internal staff.
Prepare meeting agendas, presentations, and relevant documentation.
Attend meetings when necessary, take minutes, and follow up on action items.
- Financial Support:Assist with basic financial tasks, such as budget monitoring, expense tracking, and invoice processing.
Maintain knowledge of finance-related terminology, principles, and practices.
- Marketing Support:Collaborate with the marketing department to coordinate promotional activities and campaigns.
Contribute to the development and execution of marketing strategies as required.
- GST Compliance:Stay uptodate with GST regulations and guidelines.
Support the finance team in preparing GST documentation and resolving any related issues.
- Administrative Support:Provide general administrative support to the executive team, including managing calendars, travel arrangements, and expense reimbursements.
Handle any other administrative tasks as assigned.
Skills and Qualifications:
- Proven experience as an executive assistant or in a similar role.
- Excellent communication and interpersonal skills.
- Strong organizational and time management abilities.
- Basic knowledge of finance, marketing, and GST.
- Proficiency in using office productivity tools such as Microsoft Office Suite.
- Attention to detail and ability to prioritize tasks.
- Discretion in handling sensitive information.
- Ability to work independently and as part of a team.
