Personal Assistant to Sales & Operations Director

**The salary range is $4,000 to $6,000 per month.

About the Role:

We are seeking a highly motivated and organized Personal Assistant to support our Client as their Sales & Operations Director in a fast-paced and dynamic working environment.

As the Personal Assistant, you will play a crucial role in providing administrative and secretarial support to ensure smooth operations and effective communication within the company and with our valued clients.


Key Duties & Responsibilities:


  • Conduct research and handle confidentialrelated matters.
  • Maintain an efficient filing system for internal, external, and confidential business documents.
  • Represent the Director by attending meetings and corporate events when required.
  • Manage and organize appointments with clients and key business partners, including arranging venues when necessary.
  • Prepare presentation materials as needed.
  • Handle professional and courteous telephone screening and liaise with internal and external contacts.
  • Schedule conference calls and video conferences when required.
  • Take minutes for major meetings and notes for internal and external discussions.
  • Follow up on action items after meetings and discussions.
  • Greet and coordinate guests and visitors.
  • Assist in talent recruitment for selected key positions in collaboration with the HR department.
  • Organize team bonding events and gatherings.
  • Assist in official errands, such as collection and delivery of handheld items (e.g., corporate gifts).
  • Occasionally assist in the Director's errands, such as bill payment and appointment arrangements.
  • Help establish connections with selected business partners to generate new sources of revenue and promote the company's brand through active business meetings and events.
  • Handle any other adhoc duties as required.

Job Role Requirements:


  • Minimum degree holder in business management or a related field.
  • At least 3 years of relevant experience.
  • Proficient in MS Office (Excel, Word, Outlook, PowerPoint).
  • Strong interpersonal skills with excellent oral, written, and verbal communication abilities.
  • High Level of Proficiency in English & Mandarin for dealing with Mandarin-Speaking clients
  • Able to assist in teams and manage online meetings via Zoom.
  • Independent, resourceful, and a team player.
  • Meticulous and wellorganized.
  • Positive working attitude, trustworthiness, and eagerness to learn.
  • Adaptable to a fastpaced working environment.
  • A valid Singapore driving license is a plus (but not mandatory).
  • Sales/customer service relationship background is advantageous.
