Description

Under general supervision, but with significant autonomy, performs a wide variety of responsible and difficult clerical and secretarial duties and activities of a general and specialized nature in support to the Head of Region Asia-Pacific.


  • Consolidate draft documents, briefing papers, reports and presentations according to adhoc demands
  • To provide secretarial, clerical and administrative services and support for the Head of Region Asia-Pacific in an effective and professional manner
  • To assist the Head of Region Asia-Pacific in daily office administration
  • Facilitate, under the lead of finance, liaison with the board of directors for Airbus Singapore
  • Handling/screening of phone calls, arrange and manage schedules for business meetings and appointments
  • Manage complex travel itinerary and hotel reservations across time zones, with follow ups
  • Responsible for day to day liaison with sensitive and confidential information whether in relation to sales campaigns, sensitive partnerships, content of briefings and meetings with senior external stakeholders at ministerial level, ambassadors, partner CEOs and Airbus Excom members.
  • Organize, coordinate and support meetings, conference calls, logistics and corporate events
  • Taking concise minutes of meetings for proper dissemination
  • To solve daily administrative problems and provide clear status and reporting
  • To provide all documents and reports on time and maintain a proper filing system
  • To keep smooth and complete internal and external information exchange
  • Coordinate office activities and operations
  • To establish a good communication channel with relevant stakeholders

Requirements:


  • Minimum 5 years' experience in secretarial support to executives
  • Extremely detail oriented to ensure accuracy and quality across all tasks
  • Excellent team player with good interpersonal and communication skills to function effectively in a multicultural environment
  • Excellent communication skills (written and verbal)
  • High level of interpersonal skills to interact with coworkers and executives
