    Description
    Key ResponsibilitiesAssisting 1 ED & 7 Senior Managers1. Assist Executive Director with:-- Consolidate SOW and approved eMemos for L2's weekly signing (every Thursday)- Update Monthly Headcount (Perm/Temp/Vendor)- Assist in audit exercise in consolidating supporting documents such as CRF/SOW/memos ensuring audit compliant and not deviating with the standard process- Other Adhoc Duties 2. Assist 7 Senior Managers- Raise CRF form & send draft SOW for review to SSP Contract Mgt team- Raise eMemos (see attached for steps to raise the memos)- For temporary manpower services/ software & hardware purchases- Send all supporting documents (memos/signed CRF/signed SOW) for PR/PO creation to Procurement- Assist in sending GR request to GBT Admin team and update in the tracker - To instruct GBT Admin for do GR reversal if there is any discrepancies in the final payment of invoice- To assist for any request to amend or cancel for aging PO- Assist in consolidating reports as requested by GBT Admin where applicable 3. Office Management- Manage seat allocation at L5 AB- Liaise with CRES team for any office facility matters such as adhoc request for extension of air-condition after office hour, lightings, cleanliness of office areas / project meeting rooms/ rest rooms 4. Admin Support for 103 (perm/temp), 110 (vendor)- Trigger onboard form for new hires (onsite/offshore) for LANID creation/ access card/ laptop acquisition- Ensure LANID and remote accesses are enabled (liaise with GBT Admin/ID Admin/GIS-RSA Token team)- Trigger offboard form for leavers, ensuring all UOB assets such as laptops/access cards etc are returned to GBT Admin team- Raise Change Details Form for renewal ensuring LANID/access card's end date are extended- Send reminders ensuring monthly PPM timesheet are submitted timely - Send reminders for new hires who did not complete their mandatory elearning courses on time- POC for BCM/WFH/WFO - manage the WFH/WFO reporting- POC for Dept Fire Warden- POC for any adhoc requests / queries Key Requirements
    •Experience working in a large team, shuffling between competing priorities for administrative support activities
    •Good understanding / experience using MS Office
    •Good interpersonal and communication skills working across various levels and teams
    •Experience performing similar duties at least for 2 years
